Volunteer with The Neighborhood Summit!

Thank you for your interest in serving as a volunteer for the Neighborhood Summit!

As a volunteer, you will play an important part at a premier gathering; you will also have an opportunity to listen as individuals from around the metropolitan counties share innovative ideas for addressing the issues facing our communities.

Volunteers will contribute to the Summit in many ways, including helping with pre-Summit activities; greeting attendees, registration table, assisting with locating Summit sessions, and ensuring smooth operation of the overall Summit.

A designated staff person will always be available as a point of contact and reference during the entire Summit. You will receive an orientation before your first shift and will have assistance with any problems that may arise.

Different volunteer roles require varying hours. Lists of events for which we need your help are included. We strongly recommend that you sign up for at least two shifts during the Summit to gain a more complete experience.

Volunteer Committee


Please read the various volunteer descriptions and specify your preference on the volunteer sign-up form.

General Information
• On the day of the Summit, upon arrival at the Loudermilk Center, please report to volunteer coordinator.
• Volunteers are encouraged to keep all valuables with them at all times.
• All volunteers will need to check in at the Volunteer Table approximately 30 minutes prior to their actual volunteer time for updates.
• Volunteers will be asked to select a shift – you may indicate your selected shift on the volunteer information form.

Volunteer Policies
• Outside of shift hours, you are welcome to attend concurrent sessions. The following exceptions apply:
• Plenary session attendance is limited to only those volunteers who have committed to work that session.

Volunteer Benefits
• You will be exposed to topics of interest to provide a collaborative forum to set priorities and develop action steps to build
• Hear information and proven practices addressing common problems and issues faced by neighborhoods; and help people and organizations understand how, by leveraging their regional connectivity, they can have a positive impact on their local neighborhood’s issues

Volunteer Requirements
• All volunteers must be at least 18 years old.
• Volunteers are requested to present a professional appearance. Jeans and comfortable shoes should be worn for Summit set-up activities on Friday, September 24.
• A professional demeanor is required.
• All volunteers will receive a name badge, which must be worn while on duty.
• Volunteers are asked to attend training and walk through at 40 Courtland Street - Loudermilk Center, in the Executive Board room. Date and time of the training to be announced.

Pre-Summit Volunteers

• Volunteers will help with stuffing summit bags and set-up the registration area at the Loudermilk Center on Friday, September 24, from 12 noon until 5:00 p.m. There will be free parking in the United Way Parking deck and lunch will be provided.

Saturday, September 25, 2010

Registration Table

• Volunteers will serve in the Summit registration area with check-in, materials distribution, and general registration needs. Volunteers will be responsible for answering phones and giving directions to the Loudermilk Center. Please be sure you know your way around the city.

Hospitality (Greeters/Guides)
• Volunteers will be strategically stationed throughout the Conference Center to help direct Summit attendees to registration, opening session, and workshops.
• Knowledge of the local area and activities is needed! Help participants find out about area restaurants, the downtown area and transportation.
• Volunteers are needed to direct participants from different opening workshop sessions to the opening speaker.
Volunteers should arrive 30 minutes prior to the start of their shift and check in at the Volunteers Table

Session Room Monitors
• Volunteers will report to the meeting room prior to the start of each session to make sure everything is in place. The volunteer will be given the Audio Visual needs assigned to your room for verification. The monitor will assist the facilitator with collecting the evaluations. Please remain in the room until the end of the session to support the speakers and facilitator.
• Assist the pre-summit workshop committee member by standing at the door with a pre-registration list and check in participants. The facilitator will introduce the speaker and the volunteer will remain at the door to check in additional participants. When room is at capacity close the door so not to over crowd the room.

Special Projects / Floater
• Planning Committee will need other volunteers to perform special projects throughout the Summit. Specific duties are yet to be determined.

Display & Exhibit Hall
• The Display & Exhibit Hall is in need of volunteers to help with the following:
Check in Exhibitors at the exhibitor registration counter.
• Assist exhibitors during exhibit hours with any questions.

Volunteer Table
• Volunteers are needed to staff the volunteer table; duties will include:
• Check-in volunteers and give help with assignments and directions
• Reassign volunteers if needed
• Troubleshoot and assist with volunteer needs (ex. may need to assist with finding locations).

Disability Assistance
• Mobility Assistant Volunteers are needed during the Summit, and will be assigned according to participant needs. Mobility assistants will escort participants to various Summit functions and events. Other duties may include:
• Guiding Summit attendees to wheelchair ramps, elevators, and other accessible facilities.
• Attending to the physical safety of attendees in case of emergency.
• Gathering handouts and other materials if necessary.
• Reporting any problems with accessibility to local arrangement committee members immediately
